For Military Families: Proudly Tricare Insurance In-Network
We are honored to serve the families stationed at NAS Jacksonville, Mayport, and Kings Bay, among others. Milestones is an in-network insurance provider with Tricare.
We understand the unique stressors of military life, and we strive to make the referral process seamless:
- We Handle the Red Tape: We communicate directly with Tricare Insurance to seek pre-authorization on your behalf.
- ASD & ABA Compliance: Our psychologists are experts in the specific diagnostic requirements for Autism Spectrum Disorder (ASD) evaluations. We ensure your report meets the strict criteria needed to access Applied Behavior Analysis (ABA) therapy.
- Comprehensive Paperwork: We complete the post-evaluation forms required for therapy approval at no additional charge.
For All Other Families: The “Superbill” Advantage
For families with Aetna, Blue Cross, United, and other commercial carriers, Milestones operates as an out-of-network provider.
Why Out-of-Network? Insurance companies often dictate the length of sessions, the type of testing allowed, and the duration of treatment based on algorithms rather than your child’s unique needs. By remaining out-of-network, we maintain clinical autonomy. This allows us to:
- Spend more time with your family (60–90 minute sessions vs. the standard 45).
- Select the best diagnostic tests for your child, not just the cheapest ones.
- Deliver a comprehensive, “Concierge-Level” report within weeks, not months.
Reimbursement Process: Payment is collected at the time of service, but we provide you with a detailed monthly statement called a Superbill. This document contains all the necessary coding (CPT and diagnostic codes) required by CMS. You can submit this to your insurance carrier to trigger your out-of-network reimbursement benefits, which are often mailed directly to you.
HSA / FSA Compatible: Child psychology services are a qualified medical expense. You may use your Health Savings Account (HSA) or Flexible Spending Account (FSA) cards to pay for evaluations and therapy tax-free.
🎓The Family Empowerment Scholarship (FES-UA)
Milestones is a direct provider for the FES-UA (formerly Gardiner Scholarship). This program, managed by the nonprofit Step Up For Students, is a game-changer for Florida families. It empowers parents to personalize their child’s education by directing funds toward approved services.
How We Help:
- Direct Billing: We can invoice the scholarship program directly for approved services. This often means zero out-of-pocket expenses for the family for evaluations or therapy.
- Eligible Services: FES-UA funds can cover neuropsychological evaluations, ongoing therapy, specialized curriculum, and even private school tuition.

The Starting Line: Diagnostic Intake
Duration: 60 to 75 minutes This is our “deep dive” session where we gather developmental history and determine the testing plan.
- Bonus: If you proceed with testing, this fee is credited towards the final cost of the comprehensive evaluation.
Comprehensive Psychological Evaluations
Includes: Testing, scoring, analysis, report writing, and feedback. The cost varies based on the complexity of the query (e.g., a single-query ADHD evaluation vs. a complex Autism + Learning Disability profile).
- Transparency: The psychologist will review the specific measures and exact cost with you prior to beginning testing.
The “Roadmap” Session (Feedback)
Duration: 60 to 90 minutes Unlike many practices that charge hourly for this critical step, we include it. This session includes:
- A simplified breakdown of the results.
- A printed and digital copy of the comprehensive report.
- Actionable treatment strategies for home and school.
Educational Advocacy
Service: We don’t just hand you a report; we help you enforce it. Our advocates assist with IEP review, 504 Plan negotiation, and school meeting attendance.

Cancellation, No-Show, & Payment Policy
We understand that raising children is unpredictable, and there are times when you must miss an appointment due to illness, family emergencies, or unexpected obligations.
However, because our providers do not double-book—meaning we reserve a specific block of time exclusively for your child—we require advance notice for schedule changes. Appointments for our specialized evaluations and therapy services are in high demand. Providing early notice of a cancellation allows us to offer that time to another family who is waiting for timely care.
🕒The 24-Hour Cancellation Rule
We require at least 24 business hours’ notice to cancel or reschedule any appointment.
- To cancel a Monday appointment, you must notify the office by the same time on the preceding Friday.
- If you cannot reach anyone by phone at (904) 572-1573, please leave a voicemail or email admin@milestonespsych.net. We will honor the timestamp of your message.
🛑No-Shows & Late Cancellations
If you cancel an appointment with less than 24 business hours’ notice, or if you do not show up for your scheduled time, you will be charged the full fee for that session.
Running Late: Life happens! If you are running late, please call the office immediately. We have a 15-minute grace period. However, if you arrive more than 15 minutes late without notifying the office, the appointment will be considered a same-day no-show and will need to be rescheduled, subject to the cancellation fee.
📋Policy for Initial Intake Appointments
Your initial diagnostic intake is the critical first step in your child’s care. If you cancel an intake appointment within 24 business hours, or if you no-show, any future requests for an intake must be paid in full, in advance, to reserve the time slot. This advance payment is non-refundable if the rescheduled intake is also missed.
🔄Repeated Missed Appointments
We value your time and ours. Consistency is vital for effective therapy and timely evaluations. Patients with repeated no-shows or same-day cancellations (more than 2 in a 6-month period) may be discharged from the practice or required to pay in advance for all future visits.
📱Appointment Reminders
As a courtesy, our system will send your preference of a text or email appointment reminder 48 hours in advance. Please note that technology is not perfect; failing to receive a reminder does not waive your responsibility to honor the cancellation policy or remember your scheduled time.
